Privacy policy
Elysian Spark LLC operates EasyTips. This policy explains what we collect, why, and how long we keep it.
What we collect
- Organization admins: name, email, phone, sign-in activity.
- Members: name, email or phone, photo, role line, Stripe Express account status. Bank details are held by Stripe, never by us.
- Guests: the tip amount, an optional name, note, and rating, and an email address only when a receipt or thank-you is requested. Card details go directly to Stripe.
- Terms signature: when an organization owner or admin signs the terms of service, their typed name, drawn signature, email, the exact text they signed, the time, the IP address they signed from, and their device (browser and operating system).
- Technical: QR scans (hashed device and network identifiers, no raw IP), device type, and error logs.
Why we use it
To deliver tips to the right person, send receipts and thank-yous, produce the reports an organization needs for payroll and tax, detect fraud, support the people who use the service, and prove who agreed to the terms of service, and when.
Who sees it
Organization admins see members' names and tip totals at their locations. Accountants see reports with names only. Stripe processes payments. SendGrid delivers email and Twilio delivers SMS on our behalf. We do not sell personal data.
Retention
Tip records are kept for seven years for tax purposes. Scan records are kept for thirteen months. Application logs are kept for ninety days. A guest's email is removed after the receipt is sent unless the guest opted in to receive a thank-you. Terms signatures are kept while the organization's account exists and for seven years after it closes, as evidence of the agreement; they cannot be edited.
Your rights
You may request a copy of your data or its deletion through the data request form linked from the app. We answer within thirty days. Records we must keep as evidence of an agreement, such as a terms signature, stay for their retention period even after a deletion request.
